Accommodation Information

Please ensure your hotel reservation is made by 19^th May 2024. After this date, room availability is not guaranteed.

GUARANTEE/PAYMENT OF HOTEL RESERVATION

Every reservation must be paid by credit card.

The total amount due for the stay will be charged on the given credit card upon confirmation of the booking. AIM Group International – AIM Italy – Milan Office will issue an invoice for the charged amount.

CANCELLATION POLICY

Any change or cancellation of the hotel reservation must be sent in written to AIM Group International – AIM Italy – Milan Office.

AIM Group International – AIM Italy – Milan Office reserves the right to charge on the given credit card the following cancellation fees:

– Before 15^th   April   2024: Any written cancellation will be refunded, only the reservation fee (€ 20,00) will be kept.

– Before 30^th May  2024: Any cancellation will be charged for 50% of the cancelled value. Reservation fee (€ 20,00) will be kept while the remaining amount will be refunded.

– After 30^th May 2024: no refund for amendments, reductions, no-shows or cancellations

Please Note

The rooms booked will be available to the participants for the first night of the reservation. In case of no-show reservations will be automatically cancelled and the hotel will not refund the payment received.

FLORENCE CITY TAX – IMPORTANT

Tourists will have to pay the levy upon check out in addition to the hotel bill as follows:

• € 7,00 per person per night for guests staying at 5-star hotels
• € 7,00 per person per night for guests staying at 4-star hotels
• € 6,00 per person per night for guests staying at 3-star hotels

The tax will be charged up to a maximum of 7 nights per stay.

Hotel rooms are available from Wednesday 19 to Saturday 22 June, 2024.
If you need pre- or post-nights, if you have any special request (additional beds, wheelchair-accessible rooms, baby cribs, or other) or if you are booking for a group (more than 5 people) please contact esmogynae2024.hotel@aimgroup.eu.

GROUP ACCOMMODATION  

AIM Group International will be at your disposal for any information about hotel reservations.

Group reservations will follow special group conditions and are not available online: please contact us in order to obtain “Terms and conditions for groups”.

VISA

Depending on your citizenship, you may need to obtain a VISA before coming to Italy. For detailed information, visit the website of the Italian Ministry of Foreign Affairs: http://vistoperitalia.esteri.it/home/en

It is the delegate’s responsibility to investigate the VISA requirements for Italy and to apply for a VISA, if necessary.

The conference organizers and/or the Organizing Secretariat will not directly contact embassies and consulates on behalf of VISA applicants.

Visas should be requested at least 2 months before departure, you can apply also later but it is not sure it will be released on time, as the application process can take several weeks.

The Visa invitation letter can be printed online on your webpage of congress after the registration is paid and accepted. Special information and questions for VISA can be requested to the Organising Secretariat at the e-mail address: VISA@aimgroup.eu.
